Facilities Management Supervisor Apprenticeship

Overview

Facilities management is about providing a service or a group of services, which can be labelled as ‘hard’ (estate/building management) or ‘soft’ (catering/cleaning/administration/security) or a combination of both hard and soft facilities management which are often referred to as ‘total’ or ‘integrated’ facilities management.

Depending upon the context of the job role within the employing organisation the main duties and tasks of a Facilities Management Supervisor will typically include:

  • Management of health and safety in accordance with employing organisation and client/customer requirements
  • Developing relationships in the workplace with colleagues from own organisation and with employees of the customer/client to achieve service targets
  • Develop and implement risk assessment plans in accordance with the requirements for the facilities management service(s) being provided
  • Organizing and delegating day to day activities of staff to ensure that the facilities management service meets contractual requirements and service targets
  • Monitoring costs of the facilities management services to ensure the budget is not exceeded
  • Procuring supplies for the facilities management service and maintaining relationships with suppliers
  • Resolving customer service queries and issues in accordance with contractual requirements
  • Monitor customer service issues in order to prevent re-occurrence
  • Solving day to day problems to ensure the facilities management service meets its service targets and contractual requirements
  • Managing the day to day performance of staff and contribute to their development
  • Ensure that resources (materials and equipment) are used efficiently by ensuring correct use in accordance with manufacturer’s instructions and
  • Taking responsibility for own development of skills and knowledge

Occupation and Programme Outline

Facilities Management impacts on the vast majority of individuals and organisations across the UK and adds value through a highly skilled workforce creating efficiencies in service delivery and implementation.

It encompasses multi-disciplinary activities within the built environment and the management of their impact upon people and the workplace. Effective Facilities Management, combining resources and activities, is vital to the success of any organisation. At a corporate level, it contributes to the delivery of strategic and operational objectives. On a day-to-day basis, effective facilities management provides a safe and efficient working environment, which is essential to the performance of any business – whatever its size and scope.

Within this fast-growing professional discipline, facilities managers have extensive responsibilities for providing, maintaining and developing numerous services. These range from property strategy, space management and communications infrastructure to building maintenance, administration and contract management.

The key elements of the apprenticeship are:

  • Completion and achievement of the Institute of Workplace and Facilities Management (IWFM) Level 3 Diploma in Facilities Management
  • Production of a portfolio of evidence made up of work-based products
  • Completion of a reflective log to enable the apprentice to reflect on their experience of generating the evidence for the portfolio and
  • Independent end-point assessment by the IWFM

The IWFM Level 3 Diploma in Facilities Management is a 480-hour qualification (48 credits) and consists of five mandatory units (26 credits) plus additional optional units to achieve a minimum of 48 credits in total.

Entry Requirements

For standard entry applicants must:

  • Have a confirmed offer of, or be in, suitable employment

and

or

  • Have prior attainment at full Level 2 (as defined by the ESFA) or higher and meet the requirements above for maths and English

Non-standard applications will be considered where the applicant:

  • Has a confirmed offer of, or is in, suitable employment
  • Has achieved a minimum of three GCSEs at Grade C/Grade 4 and above or has prior attainment at full Level 2 or higher (excluding maths and English) or has a minimum of two years relevant work experience

Non-standard applicants who are admitted to the programme will be required to achieve Level 2 Functional Skills in the relevant mathematics or English subject within 12 months of the commencement of the programme.

Award:

If you successfully complete all elements of the programme, you will be awarded the IWFM Level 3 Diploma in Facilities Management and will receive a Facilities Management Supervisor Apprenticeship completion certificate. You will also meet the qualifying criteria for Associate Membership of the IWFM.

Fees and costs:

Apprentices do not pay course fees. All learning resources required are provided as part of programme.

Workload and study requirements:

An apprenticeship is a full-time job. Employers are required to release an apprentice during their normal paid working hours to undertake off-the-job training. The minimum hours that an apprentice be released for is 20% of their normal paid working hours between the date that they start the apprenticeship and the point at which they are confirmed as being ready to take the end-point assessment. Typically, apprentices are released for an average of one day per week but when and how the apprentice is released is for the employer to decide.

The IWFM Level 3 Diploma in Facilities Management element of the apprenticeship typically requires 480 hours of study. Each Diploma unit has a credit value. One credit equates to 10 hours of study time. Study time is defined as the time an apprentice takes to complete the learning outcomes of a unit to the standard as specified by the assessment criteria and includes the time taken to undertake learning and completion of the assessment.

The Diploma is delivered through a blended approach of online supported study via the UCEM Virtual Learning Environment (VLE) and tutor-led learning activity. An individual learning plan is produced and agreed with each apprentice and their employer.
